The Create Sales Orders – AI‑Assisted Extraction app (F8947), available with SAP S/4HANA Cloud 2602, enables you to transform unstructured purchase order documents—such as PDFs and scanned images—into sales orders using SAP Document AI.
By automating data extraction from incoming documents, the app significantly reduces manual data entry, minimizes errors, and accelerates sales order processing—allowing your teams to work faster and more efficiently.

The AI‑Assisted Extraction app introduces several powerful enhancements:

Uses the embedded edition instead of the basic edition for higher accuracy and richer capabilities. -

Extracts data from purchase orders in multiple languages. -
Instant Learning
Continuously improves extraction accuracy based on user confirmations and corrections. -
Schema Prompts
Supports prompts at the schema level to further enhance extraction accuracy.

Usage
The basic Usage is the same as the Create Sales Orders – Automatic Extraction .
However, AI‑Assisted Extraction adds advanced learning and correction capabilities, described below.
Instant Learning
Instant Learning allows the system to improve extraction accuracy over time based on your feedback.
Prerequisites:

Your user has been assigned with business catalog Sales – AI-Assisted Extraction for Sales Order Creation (SAP_SD_BC_SO_DOCUMENTAI_PC) in SAP S/4HANA Cloud Public Edition.

Your user has write access to purchase order documents in the SAP Document AI workspace. Sufficient authorization must have been assigned to your user via the Identity Authentication service on SAP Business Technology Platform (SAP BTP). Instant learning has been activated in SAP Document AI. For more information, see Instant Learning.
When the system makes a mistake extracting information, you correct it. By confirming that fix, you’re teaching the AI how to do it right the next time. Over time, it gets smarter and more accurate, specifically for the types of documents your business uses.
If you notice an extraction result isn’t perfect, you can easily correct it and train the model for the future.
Click the “Review Extractions” button under the “SAP Document AI” menu. This will take you to the SAP Document AI workspace.
Here, you can correct any data that was extracted incorrectly.
Refresh Sales Order
This function is incredibly useful after you’ve made corrections in the Document AI workspace.
- Clicking “Refresh Sales Order” performs a complete update.
- Important: This action will erase most existing data in the sales order request, including any manual changes you made directly in the app.
- It then retrieves the latest extraction result—including any corrections you just saved or confirmed—and re-processes it to determine master data and apply relevant business logic (BAdIs).
By leveraging these new AI-powered features, you can significantly reduce manual effort and turn your sales order creation process into a smarter, faster, and more reliable operation.
Prompts on Schema
Prerequisites:
- The Admin or SchemaAdmin authorization has been assigned to your user in the SAP Document AI workspace (see Subscribing to the SAP Document AI Workspace With the Identity Authentication Service).
Log in to the SAP Document AI workspace and click Schema. For details on how to access the workspace, see the help document: https://help.sap.com/docs/document-ai/sap-document-ai/using-sap-document-ai-workspace?locale=en-US&v…
Locate the schema SALES_ORDER_REQUEST, version 1, which the app uses.
Within the schema, open the Processing Settings section.
Note: To edit the schema, click the Edit button in the section header—not the one in the page header—to avoid changing the schema version. The app is available only for version 1 of the SALES_ORDER_REQUEST schema.
