Hello SAP community! Today I would like to share a new feature to address a big common pain for a lot of customers related to managing quality certificates.
Handling incoming supplier certificates is often a manual task. These documents typically arrive separately via email and are stored as attachments on your desktop, sometimes in different formats. If necessary, they may be filed manually, requiring additional time to compare results and align data with quality inspections. This process is time-consuming and makes tracking difficult.
To address these challenges, the development team aims to minimize delays and reduce oversight of documents. This will allow us to focus on more important activities. With the release of 2025 version, a new Fiori application for managing incoming quality certificates is now available!
The new app is named Manage Certificate Receipts, which allows you to centralize this process, providing users a chance to record certificates, track their status, and view details all in one single place. The app is directly linked to goods receipt, allowing us to cleanly assign certificates to purchase orders. The main objective is to serve a management tool to monitor the receipt of quality certificates from suppliers, ensuring that each required certificate is received for the respective materials and stored in DMS. You can define the necessity of these certificates in the material master and track their receipt independently of the goods receipt through various methods, including manual recording and automatic system updates.
As you can see in the figure, the app displays the list of Certificates based of filter criteria such as certificate type, status, material, purchasing document, etc… From the list, you can deep dive into the object page for each one to view the certificate receipts details
From the worklist you can also create a manual certificate receipts, which is a feature to enable the creation via API (Quality Certificate Receipt – Create, Update (A2X)), by the system or just manually for example for those cases when you are receiving the certificate even before the GR is posted. The effect is greater transparency and less manual work.!!
But the magic really happens when If SAP Document AI is integrated in S/4HANA Public Cloud that will enable a new option of ‘start certificate upload' to directly navigate to the Upload Quality Certificate Documents app, to upload certificates and see the full list of all the uploaded documents from there… With this functionality you will use the AI-assisted processing of incoming quality certificates and accelerate the confirmation of certificates and speeding up the entire process of inspection and stock release. All you have to do is to upload the document from your desk, and AI will take care of matching the information; the system support several formats such as PDF and JPEG!!
As you can see in the figure above, the document has different statuses, after uploading, first you will note the In progress status, meaning that the system is processing and reading the documentation and extract all the data in the background, once ready it will change to Ready for Posting and immediately after to confirmed, meaning that at this point of time, you can see the certificate link generated to display the object page and to review the information uploaded and administrative data relevant. Besides and most importantly, the system creates a certificate matched where you will be able to review the collected data on the background, validate the details of log messages and make adjustments or solve inconsistencies in case needed. On the figure below you see how is possible to compare the information from the document uploaded vs the data collected after matching the information to approve, edit or complete the match:

Note: The integration of uploading a quality certificate document using SAP Document AI, is currently planned in the QM roadmap to be released by Q3/Q4 of 2026 for Private cloud edition as well, meantime remains available only for public cloud…
