Managing product master data requires careful control, especially when certain information needs to remain unchanged. SAP's field locking functionality provides a robust solution for protecting critical product data from unintended modifications.
What Is Field Locking?
Field locking allows you to designate specific fields in your product master records as “lock-relevant.” Once a product master record is locked, these protected fields cannot be modified through the Manage Product Master Data app. This safeguard activates immediately when you save the record.
Getting Started
To use this feature, your business role needs the catalog SAP_CMD_BC_PR_DIGITAL_LOCK_PC. Alternatively, you can create a role using the template SAP_BR_PRODMASTER_SPECIALIST, which includes the necessary authorization. Your system administrator must also grant you permission to lock (and in exceptional cases, unlock) product master records.
Configuring Lock-Relevant Fields
SAP provides two configuration activities for defining which fields should be lock-relevant:
Define Lock-Relevant Fields (OMSFIX): This activity works with existing material master fields for industry. You can enable or disable lock-relevance for these fields, but you cannot add new ones. In test systems, you have flexibility to change settings anytime. However, in production systems, you can only remove lock-relevance if no locked materials exist.
To access the activity, use SPRO transaction and navigate to Logistics – General > Material Master > Field Selection > Define Lock Relevant Fields.
Define Lock-Relevant Fields in Product Master (OMSFIXC): This enhanced activity offers more flexibility—you can add new entries and enable lock-relevance for additional fields. Changes made here take precedence over OMSFIX settings, except for extensible fields.
- In SAP S/4HANA and SAP S/4HANA Cloud Private Edition: To access the activity, use SPRO transaction and navigate to Logistics – General > Material Master > Field Selection > Define Lock Relevant Fields in Product Master.
- In SAP S/4HANA Cloud Public Edition: To access the configuration step, go to Database Management > Product > Define Lock-Relevant Fields in Product Master in your configuration environment.
Note: Both OMSFIXC and OMSFIX are available in SAP S/4HANA and SAP S/4HANA Cloud Private Edition. Only OMSFIXC is available in SAP S/4HANA Cloud Public Edition.
Working with Locked Products
Locking a product is straightforward: simply select the “Product is Locked” checkbox under Basic Data in the Manage Product Master Data app.
Need to make changes to a locked product? With proper authorization, you can temporarily unlock the record, make your edits, then re-lock it before saving. However, remember that once locked, products typically cannot be unlocked unless you have special authorization and the product isn't used in configuration management.
Important Considerations
Keep these points in mind when implementing field locking:
- By default, no fields are lock-relevant in the standard system—you must configure this yourself
- If you flag a field as lock-relevant after scheduling changes for that field in a locked record, those scheduled changes will be lost
- This functionality applies only to product master for industry, not retail
- The lock takes effect only after saving the record
