Introduction 

Business Process Monitoring in SAP Cloud ALM for Operations provides a comprehensive set of predefined processes and KPIs covering standard end-to-end scenarios across SAP solutions. 

However, many customers operate custom or company-specific processes that go beyond the standard content delivered. SAP Cloud ALM allows you to seamlessly integrate such custom content—including custom processes and custom KPIs—into the monitoring framework. 

To support these individual business needs, SAP Cloud ALM enables you to create, import, and monitor custom processes and to enrich them with both standard and custom KPIs.

  • How custom processes are created manually 
  • How custom processes can be imported from an existing process hierarchy 
  • How KPIs can be assigned to custom processes 

All steps are demonstrated from the perspective of Business Process Monitoring in SAP Cloud ALM Operations. 


Custom Process Structure
 

Processes modeled during implementation (in the ALM suite) can be reused to reflect your company’s actual business processes. 
Custom processes can be structured flexibly using multiple hierarchy levels. Instead of fixed-layer terminology, SAP Cloud ALM uses a hierarchy of nodes and child nodes, allowing you to model structures as needed. 


Creating vs. Importing Custom Processes
 

You can either: 

  • Create custom processes manually from scratch, or 
  • Import them from an existing Process Hierarchy 

Besides, creating a process manually, importing existing structures is often the next logical step—for example, to accelerate setup or reuse already modeled business content. 

Importing Custom Processes 

In addition to manual creation, you can import the process hierarchy from the Implementation area.
Processes modeled during the implementation phase can be reused to reflect your company’s actual business processes. 

This is especially useful for: 

  • Reusing best practices or already modeled templates 
  • Accelerating initial setup 
  • Ensuring alignment with your company’s existing ALM process landscape

Navigation & Authorizations 

The import is available in: 
Business Process Monitoring → Configuration → Import Custom Process 

This action typically requires appropriate authorizations in SAP Cloud ALM. 

Review and Adjust Imported Processes 

After import, you should review the structure and refine the selection of imported nodes. 

It is important to note: 

  • During import, you define which parts of the hierarchy are included 
  • You can later refresh or re-import if the original hierarchy changes 
  • If descriptions or structures are modified manually, the process becomes decoupled from the original hierarchy 

This allows flexibility, while still supporting reuse of centrally maintained content.

Assigning KPIs to Custom Processes 

Monitoring becomes valuable once KPIs are assigned to process nodes. 

Custom processes allow you to combine standard SAP KPIs with custom KPIs, enabling you to fully reflect your company-specific monitoring requirements. 

Create or Select a Custom KPI 

Custom KPIs extend monitoring beyond standard content and are designed to reflect customer-specific requirements.

Activation and Visibility 

Once the custom process and assigned KPIs are activated: 

  • They become visible in the Business Process Monitoring overview 
  • They behave like standard SAP-delivered content 
  • They enable monitoring of business scenarios not covered by standard content 

Custom KPIs are especially valuable when standard monitoring is not sufficient – in combination with custom processes, they provide a complete solution tailored to your business.

After activation, custom processes are seamlessly integrated into Business Process Monitoring and become immediately visible alongside standard content.

Defined KPIs are collecting data, and corresponding events can be configured to trigger alerts based on your business thresholds.

After activation, you can verify KPI assignments across all nodes and ensure that monitoring coverage aligns with your business processes. KPIs start collecting data immediately, while events provide visibility into critical situations. This ensures a consistent, process-driven monitoring setup that reflects your real business operations and enables targeted responses.

In addition, the process structure is reflected in Access Groups, ensuring that responsibilities and visibility align with your organizational setup. This allows teams to monitor and respond to issues within the exact process context for which they are responsible, enabling efficient, targeted operations.
