This guide shows how to surface an SAP Build Process Automation (SAP BPA) start form as a tile in SAP Build Work Zone, so users can trigger workflows directly from a Work Zone site. The steps apply in general, whether or not your tenant is integrated with SAP IPD Collaboration

To follow this guide, you need a deployed workflow in SAP BPA with a form as the trigger and a Work Zone tenant with SAP IPD Collaboration enabled.

To create a tile on your preferred Work Zone site, you need details from the SAP BPA start form. The required IDs are available as part of a link in the workflow where the form is configured as the trigger. Make sure you are viewing the deployed version of the workflow. The IDs do not change with each release cycle; they only change if you modify the trigger. Therefore, if you adjust the workflow or update fields in the form (without changing the trigger), you do not need to update the IDs in the Work Zone content settings.
In the deployed version of the workflow, click the trigger that uses the form. A details panel opens on the right. There you’ll find two links: one opens the form in a new window so you can start the workflow, and the other provides configuration details. The configuration link is required to connect to SAP Build Work Zone. Copy the link and paste it into a notes app.
To check if the “Process Trigger“ app is already visible in “Content Manager“, navigate to the “Content Manager“ in the SAP Build Work Zone.
There are multiple apps with the name “Process Trigger“, so make sure that it is from the channel “HTML5 Apps“. If you can see it in “Content Manager,” continue with Step 3.
Otherwise click on “Content Explorer“ on the upper right side next to the create button. There click on “HTML5 Apps“ with the subtitle “saas_approuter“.
Then select the app “Process Trigger“ and click on “Add“ in the upper right corner.
Afterwards, go back to “Content Manager“ and verify that “Process Trigger” now appears in the list.
To create the app in SAP Build Work Zone, go to “Content Manager“ via the left navigation.
There you can see all sites, apps, and roles you have already created. Open the app “Process Trigger“ from the channel “HTML5 Apps“ by clicking the row.
This app is a template for the tile you want to create. You will see information such as your subaccount ID, which will be reused for your tile. Click the “Create a Local Copy” button in the upper-right corner to copy the template.
A new app based on the template opens. Click “Edit” in the upper-right corner to add all required information for your start form.
First, change the “Application Title“ and enter a description. The application title will be used as the tile title later.
Then go to the “Navigation” tab. There you find intent and parameters as section. Change the “Semantic Object“ and “Action“ to a fitting name for your form and enter the default value for the “uri“ parameter. The default value is the full URL you copied from SAP BPA, including all IDs.
Next, adjust the tile visualization in the “Visualization” tab. You can change the subtitle, add additional information, and update the displayed icon. The tile title matches the application title you set earlier.
In the “Translation“ tab, you can add translations for your tile. Make sure to update the translated text for English at minimum, since the translation is copied from the template.
In the “Additional Info” tab, you can see who created the app and when it was last changed. No action is required here.
Now save your changes by clicking on the button ”Save” in the upper right corner.
Your tile has been successfully created.
After creating the tile for your start form, add it to your site which you can select in the ”Content Manager”.
Open the site where you want the tile to appear and click in the upper-right corner on ”Edit”.
Then you can add the tile of your newly created form in your preferred section by clicking on the ”+” in the upper-right corner of the section.
In the pop-up, select your tile and add it. After adding the tile, you can change the position via drag and drop. Then save your changes on the site by clicking the ”Save” button in the upper-right corner.
You’ve created a tile for your start form and added it to your preferred site in SAP Build Work Zone. Next, grant role access so users can see the tile. Without this, the tile won’t be visible to anyone.
In ”Content Manager”, open the user role you want to grant access to.
Then click on the upper-right side on ”Edit” and activate the ”Assignment Status” for your tile. Save your changes by clicking on the ”Save” button.
