Consider a simple analogy: owning a car. When you buy a car, your journey does not end at the dealership, it begins there. You perform regular oil changes, check tire pressure, listen for unusual sounds. You do all of this to ensure reliability, maintain performance, and protect the long-term value of that asset.

Now scale that up. Your company does not have a single car. It has a fleet of critical, high-value equipment: production lines, heavy machinery, essential infrastructure. Not managing them properly is not just an inconvenience, it directly impacts the bottom line.

The business case for asset management rests on three pillars:

Preventing unplanned breakdowns. When a critical machine fails unexpectedly, production stops, customer orders are delayed, and revenue is lost. Effective asset management moves you from costly reactive firefighting to planned, proactive maintenance, predicting and preventing failures before they happen.

Controlling total cost of ownership. Like with a car, the purchase price is only part of the story. Asset management provides the visibility to understand true maintenance costs, analyze spending patterns on recurring versus breakdown maintenance, and simulate future costs to create smarter budgets.

Operations and overhead maintenance addresses activities that are not part of typical maintenance tasks, such as training, documentation, and development work.

A key differentiator is the deep ERP integration. Asset management processes are directly connected with logistics, procurement, inventory management, and workforce-related processes in one harmonized cloud environment. This tight integration eliminates the silos that traditionally make asset management fragmented and expensive to maintain.

To understand the tangible impact, consider a gas company in the Middle East—a joint venture of a global gas company giant operating in a challenging environment. Before their transformation, they ran a heavily customized legacy ERP system with custom-built solutions for asset management.

Consider the challenges these personas face today:

The maintenance supervisor is responsible for screening notifications and deciding which ones to accept or reject. In a world of connected equipment and IoT platforms, every anomaly raises a notification. When thousands of notifications arrive for the same issue, the triage work becomes overwhelming. AI can help by intelligently grouping, deduplicating, and prioritizing these notifications.

The maintenance planner faces even more complexity. They must coordinate in-house and external technicians, review maintenance history, control costs under constant pressure, and navigate multiple applications for the information they need. AI can synthesize fragmented data into a single on-demand summary of the asset and recommend optimal planning decisions.

The maintenance technician works in the field and needs the simplest possible way to report issues. Instead of manually creating notifications, a technician can take a photograph and ask the AI agent to create a notification of a defect, reducing administrative burden and speeding up the entire response chain.

The Operational Maintenance Planner Agent

One of the most compelling examples of this AI vision in action is the Operational Maintenance Planner Agent. This agent generates complete work order structures from approved notifications, recommending order types, operations, task lists, work centers, and durations based on context and maintenance history.

In practice, this works through a conversational interface. The planner asks the agent which notifications are ready for planning. The agent retrieves the list, provides a comprehensive summary of each notification, and offers options: search for reference orders from the past, or create a new work order. If the planner chooses to look at history, the system searches business data, both master data and transactional records, and returns matching reference orders with confidence scores.

The result: what previously required navigating four or five different applications and manually correlating information now happens in minutes through a natural, conversational flow. The human remains in the loop at every decision point, but the heavy lifting of data gathering, correlation, and recommendation is handled by the agent.

The agent also executes parallel readiness checks across all prerequisites, initiates required processes (such as work permits), and communicates with other agents for planning optimization. The outcome is a significant reduction in mean time to repair.

AI Agent roadmap for Asset Management

The Operational Maintenance Planner Agent is just the beginning. SAP has a comprehensive pipeline of AI agents planned for asset management:

In the second half of 2026, expect the Functional Location Insight Agent, the Maintenance Request Initiation Agent, the Maintenance Request Screening Agent, and the Maintenance Activity Insight Agent. Moving into 2027, the Equipment Insight Agent, the Repair or Replace Recommendation Agent, the Maintenance Job Debrief Agent, and the Work Permit Recommendation Agent are on the roadmap.
