Introduction
For Service Contracts in SAP S/4HANA Cloud Public Edition, we provide a flexible date management framework so that you can configure relevant dates as default according to your own business requirements. In this blog, we will show how to use the Date Management configuration activities to change the default contract duration.
1. Business Background
In SAP S/4HANA Cloud Public Edition, a 1-year duration is set for service contracts by default. This works well for standard annual maintenance agreements, but many businesses operate on longer cycles — think 5-year equipment maintenance contracts or multi-year SLA commitments. In those scenarios, business users like a customer service manager must manually adjust the end date on every new contract, which is error-prone and time-consuming.
2. Solution
SAP pre-delivered the date profile CONT002 to cover all the date-relevant configuration settings for service contracts. That controls the default date settings for service contracts. To change the default service contract duration, you must know that it is configured by the duration CONTDURA. The default value in CONTDURA is 12 months, i.e. 1 year. You can then configure the value according to your own business requirement. In this blog, we will make it 60 months, i.e. 5 years.
We highly recommend you copy CONT002 to create a new date profile for your own configuration settings. Therefore, you need to assign your own date profile to the header (by service transaction type) and to the item (by item category), depending on which level you want to configure. In this blog, we will include the assignment steps as well.
3. Procedure
3.1 Copy the default date profile to create your own date profile for service contracts
In your configuration environment, search for the configuration activity Define Date Profile for Service Transactions (ID: 104301).
- Select the pre-delivered date profile CONT002.
- Choose Copy and enter a name for your new date profile in the customer namespace (for example, ZCONT002).
- Confirm and Save.
3.2 Configure settings according to your business requirements
Still in configuration activity Define Date Profile for Service Transactions (ID: 104301), open the newly created date profile and adjust the contract duration:
- Open the custom date profile ZCONT002.
- In the Durations section, locate the duration CONTDURA (Contract Duration).
- Change the Duration Value from 12 to 60. Keep the time unit as Month (MON).
- Save your changes.
3.3 Assign your own date profile to service transactions
In your configuration environment, search for configuration activity Assign Date Profile to Transaction Types (ID: 104327). This assigns the custom date profile at the header level of the service contract.
- Open configuration activity Assign Date Profile to Transaction Types (ID: 104327).
- Find the service contract transaction type (e.g., SC1).
- Replace the current date profile assignment (CONT002) with your custom date profile (ZCONT002).
- Save your changes.
3.4 Assign your own date profile to service transaction items
In your configuration environment, search for configuration activity Assign Date Profile to Item Categories in Service (ID: 104328). This assigns the custom date profile at the item level of the service contract.
- Open configuration activity Assign Date Profile to Item Categories in Service (ID: 104328).
- Find the relevant service contract item categories (e.g., SCN1).
- Replace the current date profile assignment (CONT002) with your custom date profile (ZCONT002).
- Save your changes.
3.5 Test your settings in the Manage Service Contracts app using the Customer Service Manager business role
Once all configuration changes are saved, validate the end-to-end behavior in the Manage Service Contracts app:
- Log on with a user assigned to the Customer Service Manager (SAP_BR_CUSTOMER_SRVC_MGR) business role.
- Open the Manage Service Contracts app.
- Choose Create to start a new service contract and enter a Start Date.
- Verify that the End Date is automatically calculated as 60 months (5 years) from the start date — with no manual adjustment required.
- Add a service contract item (e.g. SRV_CONTRACT) and go to the item details page
- Verify that the End Date is automatically set to 60 months (5 years) from the start date
- Save the service contract.
