As tax authorities worldwide tighten their grip on digital reporting, the document number on an invoice is no longer just an internal reference — it is a legally binding identifier that must flow accurately through every system in your landscape. SAP S/4HANA 2025 FPS02 closes a critical gap for Central Finance customers by introducing Official Document Number (ODN) replication.
What Is an Official Document Number?
An Official Document Number (ODN) is a unique identifier that companies are legally required to assign to specific business documents — invoices, credit notes, and similar records — in accordance with rules set by government authorities. The format, length, and structure of an ODN vary by country and are strictly defined by regulators.
Until recently, SAP stored ODNs in standard reference fields on the accounting document (such as BKPF-XBLNR). These fields were too short for some countries' requirements, and customers frequently repurposed them for other business data. The ODN framework (available since S/4HANA 1709) introduced a dedicated storage structure — table GSLOG_LFD — with sufficient length, multi-value support per document, and a clear separation from other reference fields.
The Central Finance Challenge
Central Finance (CFIN) lets organizations replicate financial postings from one or more source ERP systems (S/4HANA or ECC) into a central S/4HANA hub — without replacing the source systems. This is a popular path for harmonizing statutory reporting while keeping existing operations running.
The challenge: when a document is replicated from source to Central Finance, it gets a new FI document number in the target system. Without additional handling, the ODN assigned in the source would be lost — leaving Central Finance with legally incomplete documents.
⚠️POLAND / KSeF DEADLINE
Poland's mandatory KSeF e-invoicing regime requires every invoice to carry a government-issued KSeF number. For companies running Central Finance, this number must be present in the CFIN system for statutory reporting — making ODN replication a hard requirement, not a nice-to-have.
How ODN Replication Works
SAP S/4HANA 2025 FPS02 introduces native ODN replication as part of the Central Finance integration. The solution covers two main scenarios:
🔄Scenario 1 — Clearing Transfer (AP/AR Invoices) AP/AR invoices — FI, SD billing, and MM — are posted in the source system where the ODN is assigned (for example, a KSeF number received from the Polish government via DRC e-invoicing). During replication to Central Finance, the ODN is carried across and persisted in A document header can carry multiple ODNs — for example, a Poland invoice may hold both an individual KSeF number and a collective KSeF reference. All are replicated. |
💳Scenario 2 — Central Payment Invoices are posted in the source; the actual payment and clearing documents are created directly in Central Finance. For Poland, no ODN is currently legally required on the payment/clearing document itself. If a future jurisdiction mandates it, the ODN framework in CFIN is ready to assign one centrally. |
Preservation vs. Assignment
The solution operates in two modes depending on configuration and legal requirement:
- Preservation mode: The source ODN is validated and stored in CFIN unchanged. Target-side ODN generation is disabled for replicated documents to prevent the source number from being overwritten.
- Assignment mode: If a document is created natively in CFIN (for example, a central payment) and a country requires an ODN, CFIN assigns one using its own ODN framework configuration and number ranges.
Source Coverage
- S/4HANA source: ODNs are read from
GSLOG_LFD(RECORD_TYPE = ‘ODN') for document types ADH (FI header), BDH (SD billing header), and IDH (MM invoice header). All ODN fields — including timestamps and ODN type — are replicated unchanged. - ECC source: The ODN framework does not exist in ECC; country- or customer-specific extraction logic maps values into the CFIN ODN storage.
- Initial load: Existing FI header ODN data can be back-filled together with the FI document initial load.
Why It Matters for Business
- Centralised compliance: If your statutory reporting runs out of Central Finance, ODNs flow automatically — no manual reconciliation between systems.
- Future-proof architecture: The ODN framework is country-agnostic by design. As more jurisdictions introduce mandatory document numbering, replication in Central Finance will be ready.
- Minimal disruption: Replicated ODN data is stored in the same database table used natively by the ODN framework (
GSLOG_LFD). Consuming applications and statutory reports in Central Finance require little to no adjustment. - Configuration safeguards: ODN number generation in Central Finance is disabled for replicated documents through customer configuration settings (by company code, document type, and further restrictions), preventing replicated numbers from being overwritten.

Get Ready for Poland — and What Comes Next
If your organisation uses Central Finance and operates in Poland, the time to plan is now. Here is a practical checklist to get started:
- Verify that DRC e-invoicing is configured in your source systems to receive KSeF numbers from the Polish government.
- Review ODN generation settings in Central Finance for replicated company codes and document types to prevent conflicts.
- Scope the initial load for any existing documents that need to be back-filled before the 2026 reporting deadline.
- For other countries using the ODN framework (Israel, Slovenia, Vietnam) or regions anticipating future mandates — no architectural rework is required; coverage can be extended incrementally.
