Introduction:
Your new hire's onboarding is 90% complete, then the e-signature step fails or incorrect information was pre-populated to the form. Until now, you had to restart the entire onboarding process. Starting with the 1H 2026 release, you can now restart just the e-signature step without touching anything else.
How is this feature helpful?
- Better New Hire Experience: Re-sign specific documents only, not redo completed tasks
- Targeted Resolution: Works for External User Documents and Internal Hire Documents
Configuration & Prerequisites:
- Grant “Restart Onboarding for E-Signature” under Onboarding or Offboarding Permissions
- Configure “(ONB) Onboarding Task Restart Trigger” Email
NOTE: This feature is applicable for DocuSign and SuccessFactors E-Signature.
How to Use It?
Use Case #1: Incorrect Data in custom forms.
Scenario: Candidates E-Signature forms have incorrect pre-populated information in the custom forms.
Steps:
- Onboarding Dashboard → Locate candidate's record → Click on New Hire Data
- Correct the necessary information associated with the candidate so that the forms can be updated successfully
- Go to the onboarding dashboard, locate the candidate → click on View Details for E-Signature Task → Click “Restart e-Signature”
- Select document (e.g., “Offer Letter”) → Enter reason → Confirm
Result: Fresh custom forms are sent within minutes. Completed tasks remain untouched.
Use Case #2: Custom Forms were accidentally skipped for the candidate
Scenario: Post completion of onboarding steps, the rule with scenario “Assign Form” did not evaluate to true for the impacted candidate causing the custom PDF forms to skip for the candidate.
Steps:
- Onboarding Dashboard → Locate candidate's record → Click on New Hire Data
- Correct the necessary information associated with the candidate so that the rule with scenario “Assign Form” can be evaluated to true successfully
- Go to the onboarding dashboard, locate the candidate → click on View Details for E-Signature Task → Click “Restart e-Signature”
- Select document → Enter reason → Confirm
Use Case #3: Custom PDF Forms are assigned but the fields within the form are empty.
Scenario: Candidate is successfully assigned a form but was unable to see a few field values within the form. Either the candidate has reported at this stage or after the submission of E-Signature Step.
Steps:
- Validate the data passed via mapping in Maintain Onboarding or Offboarding Document Template. This can be done by creating a new object named “Document Template Mapping Preview” in Manage Data.
- With the help of its results, you can maintain the necessary field values based on the placeholder name
- Correct the necessary information associated with the candidate based on placeholder mapping
- Go to the onboarding dashboard, locate the candidate → click on View Details for E-Signature Task → Click “Restart e-Signature”
- Select document → Enter reason → Confirm
