SAP Joule for Consultants Expert Workspace and New…

This blog is meant to be a another quick read. The idea is to introduce the SAP Joule for Consultants Expert Library and the latest SAP Joule for Consultants enhancements over your morning coffee  or tea 🍵, and show how pre-built Expert templates, SAP Expert Library, smoother conversations, and peer-to-peer Expert sharing can support SAP transformation work in a more practical way.

In the first blog, we explored how the SAP Joule for Consultants Expert Workspace can combine SAP public knowledge, consulting experience, customer-specific assets, and governance logic into a personalized digital Expert. The latest release takes the next step by introducing the SAP Expert Library as a structured entry point: it helps users create Experts faster, work with Joule for Consultants more efficiently, and reuse expert knowledge across a project team.

There are three themes in this release that immediately stood out to me: the SAP Expert Library with SAP pre-built Expert templates, a more flexible conversation experience, and direct Expert sharing with colleagues. Let us take a closer look.

Creating a high-quality Expert is not only about writing a prompt. A useful consulting Expert needs a clearly defined role, scope, goals, guardrails, decision logic, output structure, language settings, and deliverables. Building all of this from the beginning can take time, especially for a domain-specific expert.

The SAP Expert Library reduces that initial effort through SAP pre-built Expert templates. These templates provide a ready-made structure that users can review, adapt, and enrich instead of starting with an empty configuration.

A template can include:

  • Predefined expert goals and working scope
  • Recommended personas and guardrails
  • Standardized output formats and context instructions
  • Language settings and global deliverables
  • Additional recommended configuration elements

This does not turn the Expert into a fixed black box. The template is a starting point. Users remain in control and can modify the fields according to their project, organization, and delivery needs.

In the first release wave, the SAP Expert Library in SAP Joule for Consultants provides four domain-specific templates covering important consulting and migration scenarios:

Logistics Expert

Assess / Build

Supports SAP S/4HANA conversion topics in logistics, including Simplification Items, consistency errors, compatibility scope, prerequisite SAP Notes, and SAP Readiness Check preparation.

Manufacturing Expert

Design / Build

Supports design, configuration, implementation, troubleshooting, and optimization across discrete, process, and repetitive manufacturing scenarios using SAP S/4HANA and related solutions.

Clean Core Expert

Design / Governance

Provides concise and actionable guidance aligned with SAP Clean Core principles, helping project teams make architecture and governance decisions more consistently.

Custom Code Expert

Design / Build

Focuses on ABAP custom code analysis, SAP S/4HANA readiness, ATC findings, Simplification Database analysis, technical remediation, and SAP Clean Core compliance.

The value is not simply that four names appear in the SAP Expert Library. Each template already carries domain language, an expected working scope, and a recommended consulting perspective. This gives users a more meaningful starting point and helps teams avoid reinventing the same instruction structure again and again.

A pre-built template becomes much more powerful when it is combined with customer-specific information. Users can upload attachment files to help the Expert understand the customer's business processes, terminology, project documents, internal standards, and delivery expectations.

Typical attachments could include:

  • Customer-specific process documentation
  • Project standards and internal guidelines
  • Best practice files and supporting materials
  • Governance rules, checklists, templates, and lessons learned

This creates a practical knowledge-fusion model: SAP provides a structured and domain-aware foundation, while the customer provides the context that makes the Expert relevant for a real project. The result can be both SAP best-practice-based and tailored to the organization.

Like the other features of SAP Joule for Consultants, getting started with the SAP Expert Library is easy through a guided flow:

  1. Open the Expert Workspace in the SAP Joule for Consultants Console.
  2. Go to the SAP Expert Library and select the SAP Experts tab.
  3. Choose the domain template that best matches your use case and click Apply Template.
  4. Review and modify the Expert name, description, tags, custom instructions, guardrails, output expectations, and other predefined fields.
  5. Upload supporting attachments when additional context is needed.
  6. Click Create to generate your personalized Expert.

The important step is number four. Do not treat the template as something that must be accepted without review. Read the goals, persona, core principles, responsibilities, and guardrails. Then adapt them to the project scope. A strong template accelerates the design process, but good consulting judgment still matters.

Once the Expert is created from the SAP Expert Library, it appears in My Experts and can be used in a conversation just like an Expert created from scratch. The difference is that the initial design effort is reduced and the starting configuration is more consistent.

The release is not only about the Expert Workspace. Several user-experience improvements also make day-to-day interaction with SAP Joule for Consultants more intuitive and flexible.

A fresh new welcome screen

The welcome page now has a fresh new look that makes it easier to get started and navigate key capabilities. The prompt field remains central, while Quick Links and frequently used entry points help users move directly into common tasks.

Up to 50 active conversations

Users can now keep up to 50 active conversations at once, increased from the previous limit of 10. This is a practical improvement for consultants who frequently switch between projects, workstreams, or technical topics and need to preserve context across parallel discussions.

Retry an answer without starting over

When a response is not quite right, users no longer need to rephrase the entire question from scratch. Select Retry, explain what should change. For example, make the answer shorter, more detailed, or focused on another aspect, and ask it to generate an improved response.

Edit the original prompt

Users can also edit a prompt after it has been sent. This is useful when a question contains a mistake, lacks important context, or needs a more precise scope. Instead of repeating the whole interaction, edit the original prompt and continue from the corrected version.

Another important enhancement is peer-to-peer Expert sharing. An Expert can now be shared directly with colleagues who use the same SAP Joule for Consultants tenant. This helps teams reuse working instructions and domain expertise without asking an administrator to distribute each Expert.

The sharing flow is straightforward:

  1.   Open an Expert that you created and click Share.
  2.   Enter your colleague's work email address and press Enter.
  3.   Click Add to include the colleague in the sharing list.
  4.   The recipient opens the Shared With Me tab in the Expert Workspace.
  5.   The recipient selects the shared Expert and adds it to My Experts.

After adding the shared Expert to My Experts, the recipient can modify it. These changes apply only to the recipient's own copy and do not affect the original Expert created by the colleague.

A few things to keep in mind

Sharing works only between users in the same SAP Joule for Consultants tenant (the same tenant URL).

Only the Expert instructions are shared. Attached files are not included.

Each recipient receives an independent copy, while the original Expert remains unchanged.

No administrator action is required.

From a knowledge-management perspective, this is a meaningful step. A well-designed Expert from the SAP Expert Library can move from an individual productivity tool to a reusable team asset, while every recipient still has the freedom to tailor the copy for a specific role or project.

Taken together, the new capabilities improve much more than the setup experience.

Faster onboarding: The SAP Expert Library and its pre-built templates help new users learn from a structured domain-specific example instead of facing a blank instruction field.

Greater consistency: Teams can start from common domain logic, terminology, guardrails, and output expectations.

More room for parallel work: Up to 50 active conversations make it easier to keep separate client, project, and topic contexts available.

Faster iteration: Retry and prompt editing reduce repetition and help users refine the direction of a conversation more efficiently.

Reusable team knowledge: Peer-to-peer sharing allows proven Expert instructions to be reused by colleagues as independent copies.

In other words, this release helps shift the conversation from ‘How do I set everything up?' to ‘How do I use and adapt this capability for the real decisions in my project?' That is a much more valuable place for SAP consultants and key users to spend their time.

Of course, a single feature is not enough. The real combination comes from using the SAP Expert Library, customer knowledge, project governance, efficient conversations, and team sharing together with the broader capabilities of SAP Joule for Consultants.
